The Next Generation of Purchasing

At GBS, we are constantly looking for ways to improve efficiency, accuracy and processes for our customers and our users. This quest has led us to research, review and implement some of the innovative solutions used in the Purchase-to-Pay space.
Years ago the Purchase-to-Pay (P2P) team implemented EZ-Suite in North America as the workflow solution for Accounts Payable. This was a giant leap in the way Siemens handled large multi-divisional invoice volumes. The solution provided the ability to build foundational automation, process standardization and maturity in the very dynamic AP environment.
To achieve the next level of automation, we realized that we needed a solution developed from a recipe of our own to better integrate our P2P processing skills and capabilities. In addition, this recipe must be able to leverage our digital technologies to build a future ready IT architecture with real-time ERP backend integration. This was what began the concept of NextGenP2P.
The Next Level of Automation
NextGenP2P, certified by SAP, is our innovative digital platform replacing EZ-Suite as a workflow tool to support the Accounts Payable process. NextGenP2P is built on the PEGA Business Process Management platform that integrates multiple ERP systems and other applications. The tool enables us to efficiently manage and conduct processes in a highly automatic environment with flexible and lean processes to eliminate manual activities. Developed with business rules that can be customized and processes that can be standardized, this highly scalable solution allows businesses and GBS to drive process innovation and automation continuously.
The solution offers the ability to support unique functionalities such as:
• PO and Non-PO invoice handling
• Centralized workflow with variable routing
• Flexible process variants
• Flexible tax structure mapping
• PO line pairing and three-way-match
• Flexible inbound channels for AP
• Online forms for Payment exception approvals and manual/emergency payments
Our first project phase covering Accounts Payable (NextGenP2P) was rolled out to Siemens Corporation in 2020, followed by SI, DI, SMO, SHS, LDA companies (US & Canada) in FY22. We are planning ongoing implementations through FY 2023 to move everyone off EZ-Suite. In the second project phase, the purchasing functionalities will be designed and aligned within the platform to provide a powerful end-to-end processing service along the Purchase-to-Pay chain.
